Picture a single floor office with 30 staff. Nobody wants to lift jugs any more, so the office manager asks for one plumbed in cooler by the kitchen. Here is what she picks in the tool.

Spread across 30 people, that is about $1.17 to $2.49 each per month, or roughly 22 to 47 cents a gallon. What moves the number most
Four answers do most of the work. Change any one of them and your estimate shifts more than the rest put together.
How many coolers you need
Rental is charged per unit, so a second cooler nearly doubles the bill. Headcount and floor plan drive this more than anything else.
Filter type
Reverse osmosis adds about $10 to $25 a month per cooler. It also sends water down the drain while it filters. Pick it when your tap water has real problems, not by default.
What the rate includes
A low headline rate with filters billed on the side can cost more than a higher all inclusive rate. Compare the yearly total, not the monthly number.
Sparkling water
Sparkling adds roughly $15 to $35 a month, since the supplier has to keep the gas topped up. It is a nice perk, not a cheap one.

Every figure in the tool traces back to a published source. We update them as new data lands.
- Rental rates and install fees: public pricing from national and regional US suppliers, including Culligan Quench, which lists install at $80 to $135, and regional providers quoting $200 to $400 for harder jobs.
- Filter service: supplier price lists showing $50 to $150 per change, once or twice a year, with most rentals including it.
- Electricity: daily draw figures from cooler makers, checked against the Energy Star water cooler standards, priced at the EIA US commercial average of about 13.5 cents per kWh.
- Drinking water use: about a quarter gallon per person per workday, which matches the one jug per person per month rule used across the bottled water trade.
- Water and sewer rates: typical US combined charges of $10 to $20 per 1,000 gallons.
