Count staff plus regular visitors. This sets how much water you use, and it is what decides whether bottleless beats bottled: the switch pays off somewhere between four and seven people.
Rental is charged per unit, so this is the biggest lever on the page. The familiar one-per-25 and one-per-40 rules are about walking distance and queueing at break times, not capacity, and no authority publishes a siting standard. Our office cooler sizing tool walks through it.

This drives the power bill more than anything else. Keeping a hot tank at temperature is most of the load: a cold-only unit uses about a fifth of the electricity a hot-and-cold unit does.
Carbon filters suit most city water, and 47 of the 50 metros we checked report no health-based violation. Reverse osmosis costs more and sends water to the drain while it filters.
All inclusive rates are the norm in the US. Worth getting in writing: only 34 of the 112 providers we audited have a findable contract page at all.
Only 3 of 112 providers publish an install fee, and nine say it is free or included. The other 100 never address it, so ask before you sign.
Fine tune the assumptions
No authority publishes a workplace drinking figure, so we run three scenarios instead of inventing one. This moves the per-gallon number, not the rent.
The 2024 EIA commercial average was about 12.75 cents. By state the yearly run cost for one hot-and-cold cooler swings from $22 in North Dakota to $118 in Hawaii.
Median across 50 US metros, from $1.95 in Sacramento to $19.03 in Pittsburgh. Sewer is billed separately in several cities and by property tax in Hartford, so add yours if it is metered.
Measured across 182 certified models against conventional equivalents. Certified hot-and-cold units draw 242 kWh a year against roughly 310.

Read this as a range, not a quote. Real prices move with your city, your building, and how long you sign for. Use this number to judge the quotes you get. If one comes in far above the top of your range, ask what the extra pays for.
Where the rent comes from. Only 27 of the 112 providers we audited publish any pricing, and 10 publish a monthly bottleless rate. Those ten run $35 to $80 a month, median $52.50. That is what providers advertise, not what 112 of them charge: government buyers under contract pay about half of it, and customers who write complaints report paying nearly twice.

Example: a 30 person office
Lets say we have one office that houses 30 employees. They don't want to carry jugs around anymore so the office manager decides they want a bottleless water cooler installed in the kitchen. This is what she enters into the tool.

That's $1.27 - $2.80 per person per month. Or 32-71 cents per gallon. Bottled water delivered is $1.74 per gallon. Which is about 317x more then the $0.0055 it would cost to drink that same gallon of tap water at the median commercial rate. The water isn't what makes bottled water expensive. Its the jug, the delivery and the machine. We have a bottled vs bottleless article that compares the two over the course of a year.
The number this example rests on
Since bottled water is primarily just water its cost increases with the number of people. Bottleless has a set cost so when divided by the number of people it decreases. On one machine you would pay $5.25 per employee per month if you had 10 people. If you had 100 you would pay $0.53. This is where you want to find your break even point. Somewhere between 4 and 7 people most likely. Depending on how much water your team consumes it could be as low as 1 or as high as 14 using the high and low ends of our pricing.
What moves the number most
There are 4 questions that will have the largest effect on your answer. Any of these will change your result more then the rest combined.
How many coolers you need
If you add another machine your going to almost double your cost. This is the only variable that we can't help you find. We didn't find that capacity was ever a limiting factor when looking at offices. Our guidelines for number of machines are based on travel distance.
What the rate includes
You may find a cheaper rate that doesn't include filters. Always compare the annual cost and ask how often you need to replace your filters.
Hot water, not the brand
Heating water is the bulk of your energy usage. You will use 44kWh of energy per year if you only have cold water. 242kWh if you have hot and cold. Energy usage will only account for 3.5%-18.8% of your cost to rent the machine.
What you sign, not what you pay
When we analyzed our complaints about 1/3 were related to exiting your contract. Removal fees of $300, early termination fees that are the same as your remaining contract and annual renewal fees of $175 were all found. These are not things that are listed on a monthly rate.
